GDPR disallows any capture, storage or processing of data without explicit consent. 

If we want to share attendee data with sponsors, we will need to capture consent from attendees for their data to be shared this way. I know we don’t have any sponsors (yet!), but I think it’s helpful to keep that in mind.

Under GDPR, speaker contact details and bios are considered as Personally Identifiable Information. So if speakers are EU citizens or residents, we cannot store/share their information on spreadsheets without encryption or password protection. 

Need for a legal basis for every point of data asked for at registration. You’ll need to:

Explain why you’re asking 

Say how you or your sponsors will use the information

Gain explicit consent 

Provide a Privacy Statement 

Remind people of their right to access, move or remove their data

get a fully traceable consent history for individuals.

For operational emails such as registration confirmation, joining instructions, thank you or regret, you don’t need separate consent as these emails are required to execute the event and manage their attendance – this gives you a legal basis for sending them.

Don’t forget, if you have event sponsors who want to get attendee information as part of their sponsorship package, you will have to get consent from attendees for their data to be shared this way.

Under GDPR, individuals have the right to request access to all the personal data we hold on them and we have to provide it within one month.

Consider all the places and systems in which you hold data about your event attendees. You will need to ensure you can get hold of this quickly and compile into a file to send to them in time.

 

TERMS AND CONDITIONS

General

These Terms & Conditions apply to all event participants (attendees, speakers, sponsors).

All attendees and speakers are solely responsible for the content of all individual or corporation presentations.

Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Should you not wish to accept the Terms & Conditions you should not register. Submission of a registration is regarded as affirmation of your acceptance of these Terms & Conditions.

We reserve the right to change, amend, add or remove any of the following Terms & Conditions in our sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. 

 

How we will use your information

We are committed to data privacy and protecting your personal information. Information on how we collect, process, and use your data is included in the Privacy Policy which is hereby incorporated into these Terms & Conditions. Additionally, by submitting your email address during the event registration process, you agree that we may send you event-related information. A valid email address is required for all registrations.

We use the personal data you provide in this registration for administering your participation in this event. This may include information about the event’s content, event logistics, updates, and additional information related to the event. 

We may disclose your personal data to third party service providers engaged to assist in the conduct of the event (e.g. Zoom, Mailchimp, etc.).  We do not intend to use your information for any financial gain (aka-we are not selling your information for money). Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to Ynternational may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.  Except as described herein, we will not disclose your personal data to any other third party without your consent except where required to do so by law.  

 

Service as an invited speaker

If you agree to speak at the WYRED event, we may share your contact and biographical information with event attendees. Sometimes we may also request a photograph. In other cases, we post on the respective event website information such as your name, employer, as well as a link to your company website and/or professional LinkedIn page available to the public. This is so that visitors to the event website, including event attendees and speakers, can contact you with questions and requests for more information, and to provide feedback if needed. 

 

Usage of photographic and video material taken at the WYRED event

To comply with global data privacy laws, we impose certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums).  An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

We may use social media (e.g. Twitter, Instagram, Facebook) to: (i) post real-time photos and videos to its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue.  Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, sponsor, third party, or Ynternational.  Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights.  In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.   All sessions will be recorded and live streamed.  If you do not wish to be identified, please turn off your video and rename yourself as blank when you are in a Zoom session.  

 

By attending the event, you acknowledge and agree as follows: (a) we may edit and use footage captured at the event for promotional activities; and (b) due to the prevalence of mobile recording devices in today’s world, we disclaim all liability for the capture of your image in any multimedia format by other attendees at the event.

 

Recordings of the WYRED meetings

We apply restrictions on recording the WYRED meetings. Restrictions include, but are not limited to, the usage of audio recording, video recording, and photography by attendees.

We collect the following personal data in line with the use purposes explained in a subsequent section:

– Location information (this may be automatically detected through the platform used to participate in the WYRED event)

 

Cookies are electronic placeholders that are placed on your device by the web browser while browsing a website. They are used to collect standard internet log information and visitor behavior information. When you visit our website, we may collect information from you automatically through cookies or similar technology. We use cookies to improve your experience on our website, including:

necessary cookies, that help make our website usable by enabling basic functions like page navigation and access to secure areas of the website;

statistics cookies, that help us to understand how visitors interact with the website by collecting and reporting information anonymously.

 

Retention of Personal Data

We will process and store your personal information only for as long as necessary to provide you access to the WYRED event. After the event, the corresponding data is deleted.

 

How do we use your information?

We use your personal information for the following purposes:

To communicate with you about the WYRED event. We may communicate with you about the WYRED event hosted by Ynternational. This may include information about the event’s content, event logistics, and additional information related to the event. Information you provide when registering for or participating in the WYRED event, if co-sponsored by parties, in addition to Ynternational, may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties. 

To provide support to attend the WYRED event. We may use your personal information to respond directly to your requests for information or other requests, and provide you with support that you have requested to attend the WYRED event.

 

How can you control your information?

You can control the information we have about you and how we use it. You have a right to the following:

To request access to the personal information we hold about you;

To request that we rectify or erase your personal information;

To request that we restrict or block the processing of your personal information;

Under certain circumstances, to receive personal information about you that we store and transmit to another without hindrance from us, including requesting that we provide your personal information directly to another, i.e., a right to data portability; and

Where we previously obtained your consent, to withdraw consent to processing your personal information.

Personal data about minors and children

We do not knowingly collect data from or about children under 16 without the permission of parent(s)/guardian(s). If we learn that we have collected personal information from a child under 16, we will delete that information as quickly as possible.
